    Responsibilities

    Manage and performs day to day operations for the Program Operations and facilities. Responsibilities for this position will include managing the workflow processes, ensuring imaging standards practiced and followed, as well as assessment of facility performance and capacity, liaison for all program customer interactions and service level agreements.  Responsibilities for this position will also include setting of processes (including documentation), analyzing and modifying workflow performance, supporting local sales staff and training of new staff in all phases of the program processes including imaging. Included as part of the operation responsibility is capacity planning which includes managing the through put of each phase of processing, imaging, system utilization including local disk, supplies and insure the proper backup of all related components and maintain a proper DR process. 

     

    • Manage all activities related to the program for operations, including knowledge of the direct hands on processes and workflows in use.
    • Manage client communication and service level agreements
    • Coordinate weekly, monthly, quarterly and yearly business reviews or as needed
    • Maintain all related imaging/processing/tracking software and equipment
    • Mortgage file vault storage and movement management, including knowledge of the direct processes and workflows in use
    • Maintain user lists for Iron Mountain and client systems to run the program
    • Makes recommendations to management on desirable additions, replacements or changes in the program through change controls with the client
    • Coordination of local operations for proper chain of custody / security
    • Active participation in the operation, support, communication and maintenance of all aspects of program practices within Iron Mountain
    • Ensure process and procedures are in place for Iron Mountain security policies and controls are met related to the program
    • Maintain proper DR process and procedures for the production/storage environment
    • Coordinate box/document transfer, chain of custody from local operations
    • Management of the staffing, workstations and scanners capacity
    • Assist in program operations manual and documentation updates
    • Monitoring of production workflow and identify and correct bottlenecks
    • Monitoring of batch classes and support failed batches
    • Coordinate efforts with system support on issues
    • Coordination of  patches / upgrades for software / hardware as required
    • Oversee required scanner maintenance with vendor
    • Standard imaging/program reports for the division as well as program specific reports daily, weekly, monthly.
    • Manage staffing time in Kronos and adhere to Overtime rules
    • Work with HR on staffing recruitment, staff management, termination and reviews as needed
    • Bi-weekly updates of environment on DS Operations meeting or as needed
    • Maintain local required program supplies
    • Other duties as determined by the District Manager/Director Digital Solutions

    Qualifications

    • A minimum of 5 years experience in the mortgage processing environment and imaging.
    •  Excellent knowledge of mortgage origination processes and procedures
    • Excellent knowledge of mortgage documents and compliance
    • Knowledge of computer and scanner operation a plus
    • College degree a plus
    • Strong communication skills
    • Ability to prioritize, multitask
    • Excellent knowledge of Microsoft Office Suite with particular in Excel, Word, Power Point and Outlook.
